1. Overview
A Lot Matters, LLC (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how the ReceiptProcessor application (“the Application”) collects, uses, and protects your information.
ReceiptProcessor is a desktop application that helps users manage receipts by extracting data using OCR (Optical Character Recognition) and matching receipts to transactions in QuickBooks Online (“QBO”).
2. Data We Collect
Receipt Images
When you scan or import a receipt, the image is processed locally on your device. The extracted text (vendor name, date, total, line items) is stored locally in an SQLite database.
QuickBooks Online Data
With your authorization, the Application accesses your QBO account to match receipts to existing transactions. We only read transaction data necessary for matching (date, amount, vendor). We do not modify, delete, or create QBO transactions without your explicit action.
Audit Logs
All Application actions are logged locally for troubleshooting and compliance purposes. These logs contain timestamps, action types, and transaction IDs — no personal financial data is included in logs.
3. How We Use Your Data
- To extract receipt information using OCR
- To match receipts to QBO transactions
- To attach receipt images to matched QBO transactions
- To maintain an audit trail of all Application actions
- To improve Application performance and accuracy
4. Data Storage & Security
Local Processing: All OCR processing happens locally on your device. Receipt images are not uploaded to any cloud service.
Local Storage: Extracted data and audit logs are stored in a local SQLite database on your device.
QBO Communication: The Application communicates directly with Intuit’s QBO API over HTTPS. OAuth 2.0 tokens are stored securely on your device and refreshed automatically.
No Cloud Dependency: The Application does not use any cloud-based processing, storage, or analytics services.
5. Third-Party Services
The Application integrates with the following third-party service:
- Intuit QuickBooks Online API — Used for transaction matching and receipt attachment. Subject to Intuit’s Privacy Statement.
We do not share your data with any other third parties.
6. Data Retention
All data is stored locally on your device. You retain full control over your data at any time. Uninstalling the Application removes all local data.
7. Your Rights
Since all data is stored locally on your device, you have complete control over:
- Accessing your data at any time through the Application
- Deleting individual receipts or all data
- Revoking QBO access through your Intuit account settings
- Exporting your data from the local database
